About the Role:

We are looking for a sharp, adaptable, and highly efficient Executive Assistant to provide comprehensive support to our CEO and LT. This role demands a blend of exceptional organisational skills, discretion, and the ability to anticipate needs in a fast-paced environment. You will be the linchpin of the CEO and LT's daily operations, ensuring seamless communication and efficient management of their time.

Responsibilities:

Calendar & Meeting Management: Proactively manage the CEO and LT's complex calendars, scheduling appointments, meetings, and travel arrangements with meticulous attention to detail.
Communication & Correspondence: Act as the first point of contact for the CEO and LT, screening and prioritising emails, phone calls, and correspondence. Draft and prepare presentations, reports, and other documents.
Travel & Logistics: Coordinate all aspects of travel, including flights, accommodation, ground transportation, and itineraries, ensuring seamless and efficient journeys.
Meeting Preparation & Follow-Up: Prepare agendas, take minutes, and follow up on action items from meetings, ensuring timely completion of tasks.
Expense Management: Manage the CEO and LT's expenses, ensuring accurate and timely submission of reports.
Confidentiality & Discretion: Handle sensitive information with the utmost discretion and maintain strict confidentiality.
Project Support: Assist with special projects and initiatives as needed, conducting research, gathering information, and coordinating logistics.
Relationship Management: Build and maintain strong relationships with internal and external stakeholders.
Office Management: Assist with general office administrative tasks, ensuring a smooth and efficient workflow.

Qualifications & Skills:

Proven experience as an Executive Assistant, preferably supporting a C-level executive.
Exceptional organisational and time management skills, with the ability to prioritise and manage multiple tasks simultaneously.
Excellent communication and interpersonal skills, both written and verbal.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to work independently and proactively, with a high degree of initiative and problem-solving skills.
Strong attention to detail and accuracy.
Ability to maintain confidentiality and handle sensitive information with discretion.
Experience in the marketing or creative industry is a plus.
Ability to work within a fast paced small firm environment.
Available working on UK office hours and beyond if applicable.
