About the Role:
We are looking for a sharp, adaptable, and highly efficient Executive Assistant to provide comprehensive support to our CEO and LT. This role demands a blend of exceptional organisational skills, discretion, and the ability to anticipate needs in a fast-paced environment. You will be the linchpin of the CEO and LT's daily operations, ensuring seamless communication and efficient management of their time.
Responsibilities:
- Calendar & Meeting Management: Proactively manage the CEO and LT's complex calendars, scheduling appointments, meetings, and travel arrangements with meticulous attention to detail.
- Communication & Correspondence: Act as the first point of contact for the CEO and LT, screening and prioritising emails, phone calls, and correspondence. Draft and prepare presentations, reports, and other documents.
- Travel & Logistics: Coordinate all aspects of travel, including flights, accommodation, ground transportation, and itineraries, ensuring seamless and efficient journeys.
- Meeting Preparation & Follow-Up: Prepare agendas, take minutes, and follow up on action items from meetings, ensuring timely completion of tasks.
- Expense Management: Manage the CEO and LT's expenses, ensuring accurate and timely submission of reports.
- Confidentiality & Discretion: Handle sensitive information with the utmost discretion and maintain strict confidentiality.
- Project Support: Assist with special projects and initiatives as needed, conducting research, gathering information, and coordinating logistics.
- Relationship Management: Build and maintain strong relationships with internal and external stakeholders.
- Office Management: Assist with general office administrative tasks, ensuring a smooth and efficient workflow.
Qualifications & Skills:
- Proven experience as an Executive Assistant, preferably supporting a C-level executive.
- Exceptional organisational and time management skills, with the ability to prioritise and manage multiple tasks simultaneously.
- Excellent communication and interpersonal skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and proactively, with a high degree of initiative and problem-solving skills.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Experience in the marketing or creative industry is a plus.
- Ability to work within a fast paced small firm environment.
- Available working on UK office hours and beyond if applicable.
